Complex expense claim systems encourage fiddling

Business travellers frequently end up out of pocket because of complex expense procedures, resulting in the creation of fictitious claims to recoup their losses, according to expense solutions provider KDS.

Research from KDS shows 60% of employers continue to use complicated spreadsheets to calculate expenses and almost a quarter (23%) of business drivers spend over an hour on each claim. A further quarter (24%) say they often fail to claim back all their expenses and 11% say their employer will not reimburse them for internet charges accrued from checking work emails while on business.

Just under half (49%) of employees know how to fiddle their expenses, although only 13% admit to bumping up their claims.

Yves Weisselberger, chief executive of KDS, said: "Expense claims remain a bête noire for many employees and this survey shows how a minority seek to even the score. The greater message of this study is that by sticking with time-intensive systems, companies are forsaking important cost savings when they need them most, and submerging their people in admin when they should be out winning business."
